Attendance and Cancellation Policy
Effective June 1, 2023
Thank you for choosing Occupational Therapy Associates Wakefield & Bedford (OTA) to provide exceptional care for you and your child. We know that consistent weekly attendance is crucial for maintaining progress in therapy and preventing regression of skills. To ensure that each client receives the best possible care, we schedule sessions on the same day and time each week. We kindly request that clients only accept time slots if they are able to attend regularly on that day and time.
We appreciate that emergencies can arise, but please understand that missed appointments not only impede your child’s progress, but also cause business disruption and cost for OTA. As our therapists dedicate time to preparing for each session, we ask that clients make every effort to attend their scheduled sessions on time and on a regular basis, and provide adequate notice when they cannot attend.
Clients are required to maintain a 75% attendance rate in a 4-week span. If this cannot be maintained we may place you back on our waiting list until a more consistent appointment time becomes available for your child. OTA reserves the right to discharge your child if they are not attending their weekly appointments consistently.
The following fees will apply for cancellations as of June 1, 2023:
- Cancellation calls received by the office (ext 0) or to otinfo@otakids.com before 8 am on the day of your appointment will not incur any charge. Please do not email therapists directly. Cancellation emails only sent to therapists may result in a charge.
- Cancellation calls or emails after 8 am on the day of your scheduled appointment will result in a $35 cancellation fee.
- Missing an appointment without calling ahead will result in a $75 no-show fee
If you have any questions regarding these policies, please let our administrative staff know. By signing below, you acknowledge that you have read and understood OTA’s Attendance and Cancellation Policy, and agree to take responsibility for planning your child’s appointments accordingly and notifying OTA of any difficulties in keeping a scheduled appointment.
